A practical cabinet-system compliance file may include:
- radiation-area survey records;
- operator training and competency records;
- recurring cabinet evaluation records;
- maintenance logs and incident reports;
- a current equipment listing;
- radiation protection program documentation;
- records supporting corrective actions.
Different records, different retention rules
OAC 3701:1-68-02(A)(13) establishes different retention periods by record category.
- Area radiation surveys conducted at non-temporary sites are maintained until the registration is terminated.
- Operator training and refresher-training records are maintained until employment terminates or three years, whichever is longer.
- Other records generated under Chapter 3701:1-68 are generally maintained for at least three years.
Facility takeaway
Avoid using one blanket destruction date for every radiation-safety record. A simple compliance index can identify what record is required, what it relates to, where it is stored, and the applicable retention rule.
